The everyday problem
A balance question is easier to resolve when both sides can identify the same bills and receipts. Start by gathering the relevant references and dates, rather than arguing about a single total displayed on a screen.
A workable process
Check the selected customer account and period with the responsible accounts person. Locate the bill or receipt mentioned by the customer and compare it with the supporting document. Record any item that needs further checking without making an unexplained change to the account.
A practical example
A customer may have paid recently but quote an older bill reference. The team needs to identify the receipt and the intended transaction through the supported process. Two customers with similar names should be checked carefully before any correction is considered.
Before you finish
Keep a note of the question, documents examined and person responsible for resolution. Follow the business's approved accounting procedure for corrections, and explain which specific record remains under review.
Try this check with your team
Take a sample opening balance of ₹2,000, a new bill of ₹1,500 and a receipt of ₹1,000. Before other entries, ₹2,500 remains. Ask both sides to identify those same three records and their dates rather than debating only the closing amount.
What the result tells you
If the customer has another receipt, locate it by reference and check the party and period before adjusting anything. If the records agree but the calculation does not, inspect returns and other adjustments included in the ledger.
