When item details make a ledger discussion clearer

A customer may recognise the products purchased more readily than a document number alone.

The everyday problem

A customer may recognise the products purchased more readily than a document number alone. Where the configured ledger workflow includes item details, that context can help staff identify which transaction the customer is asking about.

A workable process

Start with the correct customer record and agreed period. Locate the relevant entry, then review the available item-level information alongside the source bill. Use the original document when a question requires more detail than the ledger presentation shows.

A practical example

Two bills issued on the same day may have similar totals. Referring to one as the bill for the replacement battery helps the customer identify it, but the document reference is still needed to avoid confusing the records during follow-up.

Before you finish

Confirm that the printed or shared output contains only the intended customer's information. Use the item details as context for reviewing the record, rather than changing balances solely on the basis of a verbal recollection.

Try this check with your team

Choose a customer bill that contains two recognisable products. Find it in the item-detail ledger and compare the item quantities with the original bill, then review the ledger’s financial total. Check whether settled or cash bills are included in the selected view.

What the result tells you

Use the product detail to explain the transaction, while keeping bill totals distinct from line amounts. The view can help a customer recognise a purchase without changing what the account ledger says is still due.
