Bring examples from a normal working day
A useful demo answers how your business will complete its everyday work. Bring one typical sale bill, one supplier bill and a small item list. Use sample or redacted customer information where possible. Include any units, batches or variants that make your stock different from a simple product list.
Also describe the number of billing counters, users and locations. These details help the team demonstrate a relevant setup and explain which connected products or services are needed.
Follow one transaction from start to finish
Ask to see a purchase entered, stock checked and a sale completed. Then open the related ledger and report. This helps the cashier, stock handler and accountant understand how their work connects.
If you want AI purchase import, test one of your common supplier formats. If you need barcode billing, bring a sample label and the scanner model. For a thermal or label printer, confirm the paper size and ask to see an appropriate output format.
Include the exceptions your team handles
Routine transactions are only part of the working day. Explain situations such as an incorrect quantity, a customer return, a split payment or a bill that needs correction. Ask the team to demonstrate the supported process for your selected edition.
For permissions, describe the difference between a cashier and a manager. Identify the actions and reports that each role should access, and review those roles during the demonstration rather than leaving permissions until the first busy day.
Agree on setup and support before going live
Ask what can be imported from your existing records and request the required templates. Agree how opening balances and stock will be checked after import. For backups, ask to see both the backup process and a restore demonstration.
Get a written quotation describing the licence, user limits, installation, training and support. Include any hosting or integration services needed for Farata, Web POS, Web Order or Web Store. Schedule a small trial with your team before moving the full business workflow.
Try this check with your team
Ask the demonstrator to follow one transaction beyond the entry screen: save the sale, inspect the stock change, open the customer ledger and reprint the same bill. Then try a genuine exception, such as a part-payment or a returned item.
What the result tells you
The outcome should be a traceable chain of records that your staff can explain. Note which steps are standard, which require configuration and which remain unanswered. Use that list when agreeing installation, training and the acceptance trial.
